Who we are

Cheam Sports FC is a grassroots youth football club based at Peaches Close, Cheam, Surrey, SM2 7BJ. We are affiliated with Surrey FA (Org ID: 75435) and compete in the Surrey Youth League. For the purposes of data protection law, the club is the data controller.

What data we collect

When you use our trial registration form, we collect:

• Player name and date of birth
• School year
• Parent or guardian name
• Email address and phone number
• Current club, league, and preferred position (optional)

When you visit our website, our hosting provider (Vercel) may automatically collect standard server logs including your IP address, browser type, and pages visited. We do not use tracking cookies or third-party analytics tools.

How we use your data

We use the personal data you provide to:

• Respond to trial and registration enquiries
• Communicate with parents and guardians about training, matches, and club activities
• Manage team rosters and comply with league and FA registration requirements
• Fulfil our safeguarding obligations

Our legal basis for processing this data is legitimate interest (running the club and responding to your enquiry) and, where required, consent (for example, when you submit the registration form). For safeguarding purposes, we may also process data to protect the vital interests of a child.

How we process form submissions

When you submit a trial registration form, your data is sent directly to the relevant team coach via email from our own mail server (cheamsportsfc.com). Your data is not sent to or stored by any third-party form service.

Who we share data with

We do not sell or share your personal data with third parties for marketing purposes. We may share data with:

• Surrey FA and the FA — for player registration, league compliance, and safeguarding as required
• Surrey Youth League — for team and player registration
• Vercel — our website hosting provider, which processes standard server logs
• Law enforcement — if required by law or to protect the welfare of a child

Children's data

As a youth football club, we collect limited personal data about children (name, date of birth, school year). This data is collected with the knowledge and involvement of a parent or guardian via our registration form. We take extra care to protect children's data in line with ICO guidance and FA safeguarding policies.

How long we keep your data

We retain registration enquiry emails for as long as they are needed to process your enquiry and manage the player's involvement with the club. If a player leaves the club or an enquiry does not result in registration, we will delete the associated data within 12 months unless we are required to keep it for safeguarding or legal reasons.

Your rights

Under UK data protection law (UK GDPR), you have the right to:

• Request a copy of the personal data we hold about you or your child
• Ask us to correct inaccurate data
• Ask us to delete your data (where we have no legal obligation to keep it)
• Withdraw consent at any time
• Lodge a complaint with the ICO (ico.org.uk) if you are unhappy with how we handle your data

Cookies

This website does not set any tracking or advertising cookies. We do not use Google Analytics or similar third-party analytics services. Our hosting provider may use essential cookies for security and performance purposes.
